Terms & Conditions

1. Acceptance of Terms

By accessing HealthHub GH, registering as a Pharmacy, Supplier, or Admin, you agree to these Terms. If you do not agree, do not use the platform. This platform is for licensed pharmaceutical businesses operating in Ghana.

2. Definitions

• "Pharmacy" - A retail pharmacy licensed by Pharmacy Council Ghana
• "Supplier" - A wholesale / distributor licensed to supply medicines
• "License" - Valid PCG or FDA Ghana license with expiry date
• "Platform" - HealthHub GH web application, marketplace, POS, inventory

3. Eligibility & Verification

3.1 Pharmacy Requirements

• Must have valid Pharmacy Council license number
• License expiry is tracked. System blocks login if license_expires_at is past due
• Must upload business registration, premises photo, superintendent pharmacist details
• Admin verification (is_verified=1) is mandatory before trading

3.2 Supplier Requirements

• Must have FDA Ghana wholesale license
• All products must have FDA registration numbers
• Selling unregistered, expired, or counterfeit drugs = immediate ban + report to FDA

4. Accounts

• One account per license. Sharing login is prohibited
• You are responsible for all activity under your account
• Admin may BLOCK account (status='blocked') for violations. Blocked users see: "Your account has been BLOCKED by Admin"
• Pending accounts cannot access marketplace until approved

5. Marketplace & Orders

• Pharmacies order from verified suppliers only
• Supplier must confirm stock availability within 24 hours
• Prices include VAT unless stated. Delivery charges separate
• Once order status = 'delivered', pharmacy has 48h to report discrepancies
• HealthHub GH is a facilitator, not a party to the sale between Pharmacy and Supplier

6. Payments & Accounting

• All transactions recorded in supplier_statements / pharmacy ledgers
• HealthHub GH may hold commission (if applicable) as agreed with suppliers
• Pharmacies must settle supplier invoices per agreed terms (Cash, Mobile Money, Bank)
• Failure to pay may result in suspension

7. POS & Inventory

• Inventory quantity * cost_price = stock value tracked for Admin
• Pharmacy is responsible for expiry management. System warning at 30 days to expiry
• Sales via POS terminal are final. Refunds per pharmacy policy

8. Prohibited Activities

• Selling controlled narcotics without prescription record
• SQL injection, bypassing verification, creating fake licenses
• Uploading expired / fake FDA certificates
• Spam orders or abusing password reset requests

9. Data Privacy - Ghana Data Protection Act 2012 (Act 843)

• We collect: name, email, phone, pharmacy location, license data, transaction data
• Data stored in Ghana / secure cloud. Encrypted passwords with password_hash()
• We do not sell your data. Notifications used for order updates and license renewal
• You may request data deletion via admin@healthhubgh.com unless required for audit

10. License Expiry Enforcement

Automated checks: if strtotime(license_expires_at) < time() login blocked with message "License EXPIRED X days ago". Renewal requires uploading new license and admin approval. 30-day warning shown in dashboard.

11. Limitation of Liability

Platform provided "as is". HealthHub GH not liable for drug efficacy, supplier delays, or loss from expired stock. Maximum liability limited to GH¢1,000 or fees paid in last 3 months, whichever lower.

12. Termination

• Admin may terminate pharmacy/supplier with 7 days notice for breach
• Immediate termination for counterfeit sales
• On termination, data retained for 7 years per Ghana pharmacy law

13. Governing Law

These Terms governed by laws of Republic of Ghana. Disputes at Accra High Court, or via Ghana Arbitration Centre.
